Description of OCCHI Officer Duties

These descriptions duplicate those listed in the bylaws. However, emphasized information is additional concrete duties of the officer.

Article IV

Officers

All officers of the Chapter must be voting members of the ACM and members of the ACM SIGCHI.

No member may serve in the office of Chair for more than three consecutive years.

Article V

Duties of Officers

  1. The Chair is the principal officer and is responsible for leading the Chapter and managing its activities in accordance with the policies and procedures of the ACM and these bylaws. The Chair shall preside at all meetings of the chapter and of its Executive Council.
    1. With the advice of the Chapter's Executive Council, the Chair shall appoint all members of ad hoc committees of this Chapter and all Committee Chairs.

      The chair also maintains the chapter archives and resources, filters messages from the ACM, corresponds with the ACM re: chapter activities, attends the CHI conference workshop, signs documents, schedules meetings and sends reminders to the Executive Board re: the Executive Board meetings. Job takes between 3-5 hours per month; the time is slightly higher when there is a special task to do.

  2. The Vice Chair for Program shall plan and make arrangements for the technical programs of the chapter's meetings in accordance with the membership's interests and the aims of the Chapter as set forth in Article II. The Program Committee shall also gather and make available to the membership future program elements such as job postings, internships, and consultant's lists.

    Arranges talks; this means asking persons to speak, following up with them by getting a talk description, references and AV requirements and making sure AV talk requirements will be available at the host location. Does a background check if necessary. Job takes 3-4 hours per month. Arranges for dinner for speaker and small gift.

  3. The Vice Chair for Industrial Outreach shall solicit industrial support, sponsorship and input from industry.

    Arranges meeting locations. Creates relationships with these locations by checking with them before the meeting to ensure things run smoothly and follows up with location contact person to make sure there were no problems. Thanks location contact person for letting us meet there after each meeting. Looks for support for additional companies; this will become more important over time. When we begin having tutorials or workshops, the vice chair for industrial outreach will assist vice chair for programming with planning and preparations. Job takes 3-4 hours per month.

  4. The Secretary shall keep the minutes of all Chapter and Executive Council meetings. Other duties of the Secretary include:
    1. Preparation of the annual report for presentation at the election meeting.
    2. Preparation of the Chapter's activity report and officer contact information, and submission of these to ACM headquarters.
    3. Submission of any proposed amendment to these bylaws to the Chair of the Membership Activities Board.
    4. Maintaining the organization's database for mailings, correspondences, and records.
    5. Publish and distribute all notices and publicity for and to the members of the Chapter.

      Proposed amendments must be approved before they can be submitted to the Chapter's membership for a vote.

    6. Perform other duties as assigned by the Chair.

      Gets RSVPs and gives list to security at meeting location. Manages Yahoo group presence by filtering mail, monitoring new members and managing the calendar/files. Takes notes during executive council and during chapter meetings for minutes. Job takes 3-4 hours per month

  5. The Treasurer shall pay all bills and maintain the Chapter's financial records. Duties of the Treasurer shall also include:
    1. Preparation of the Chapter's annual financial report for presentation to the Chapter at the annual election meeting.
    2. Present a report at each Executive Council meeting; the contents of the report shall be included in the minutes and made available to the membership on an ongoing basis.
    3. Completion and submission of the financial report to ACM headquarters.
    4. Performance of other duties as assigned by the Chair.

      Collects $2 donations at the meetings. Purchases refreshments and responsible for transporting refreshments to and from meeting location. Responsible for the disbursement and management of funds and accounts. Obtains receipts for all chapter expenditures including the speaker's dinner and gift. Keeps books. Job takes 3-4 hours per month.
